Google Calendar Question

I have a Google Calendar set up to show events that happen in a school. It is currently under my Google account right now, but I need to share it in order to allow staff and coaches to edit the calendar events as appropriate. Almost all of them do not have Google accounts.I found a sharing option for Public calendars and I tried to share the calendar to myself with a different, non-Google email address. It didn't work, I checked Hotmail and there was no notification or anything like that.How do I allow non-Google accounts to be able to edit the calendar? It would be a hassle to get people to sign up for a Google account just to do this.Any help is appreciated.

OK, I think that you have two different problems. And all of them seem to be manageable with the standard google toos.

 

Let's suppose that you already have a domain name, let's name it yourteam.org.

You created a google main mail for this team, you are the administrator of this domain mail.

 

1) You create a second account, named coach, in this domain, as well as an account named staff, in this domain. These accounts have access to the domain calendar, of course.

You ask coach to use his IE6 browser and go to your calendar address:



https://www.google.com/a/yourteam.org/ServiceLogin?service=cl&passive=1209600&continue=
https://www.google.com/ =
https://www.google.com/calendar


 

He has right to enter an event which will be broadcasted to the whole team.

 

2) Each team will receive this in his gmail mailbox. If your coach does not want to use his gmail mailbox, no problem, you ask google to transfer each incoming mail to his non-google address, and he will receive the mail in his hotmail or yahoo mailbox automatically. He will never have to connect to gmail everything will work automatically.

Simply, you, as administrator of the gmail domain, you know the mailbox name and password of each member, so you prepare the mail transfers, you do the whole job an you simply say "Hi, folks, have a look, it works".

 

3) Each member of your team, the coach, the staff, continue using their non-gmail mailing. They simply use their internet browser to go to

, which will ask their name and password as standard user of yourteam.org calendar, everything is correct.

They don't use their gmail account, who cares ? You administrate it and clean-up when the gmail account has more than 7 gigs space, which will probably not occur before a couple of years.

There are a few things wrong with that though:1. I don't own a domain, out school owns a subdomain out of the entire school board, but I do not have any control over that AT ALL.2. The school uses IE7.3. I think that only 2 or 3 people need access to edit events on the calendar.

1) OK, it's easier for domain owners, but it is not necessary.

2) It's suppose to work with IE6 and above, so it should work with IE7.

 

You are hosted here at Xisto, so no problem for creating a page in a subdomain attached to your own subdomain at Xisto.

Then, on this page, people from your team can reach the calendar and create events, have a look here :

I think that I will just get the 1 or 2 administrators to be in charge of the calendar and get them to use their accounts to sign up for a Google account. That way it will be way less work :rolleyes: Thanks for the suggestions though.

Ok I got them to sign up for a Google account using their existing email address. They can edit events on the calendar, but there is a problem.Whenever they create an event, it does not add to the calendar. I have just noticed the problem and I have notified them not to add any events at the moment. Right now, the setting is at "Make changes to event", there is no "Make changes and add events" option. How do I allow them to add events that will stay on the calendar. I have seen them add events and it does say "Your event has been created." but it doesn't appear when I actually check the calendar on my account or the calendar that is posted on the page.How do I solve this issue?

So, there is a stupid possible workaround solution : you can give these guys your login ID and password...

I would prefer to resolve the issue without violating the Google Terms of Use.

I did a quick test with two Google accounts I had (one registered with gmail.com and one hosted on Google Apps). In the test, I enabled on the Gmail account a calendar called 'School' sharing with my other hosted email with the setting "Make changes AND manage sharing". I then proceeded to login in another browser to the hosted email's calendar, added the other calendar using the 'Add a Friends Calendar'. I made some edits to the calendar on the hosted email side and saved the changes. The edits showed up perfectly fine on the original Gmail account's calendar after refreshing the calendar.I think there may other reasons why it is not working for you. Please check if the people you are sharing with are putting the events in the right calendar, i.e. not their personal default calender but the shared calendar.Note, I could not find such a option as "Make changes to event" in the calendar options at all.
